Associate I - Project Management
Gilead is seeking a highly motivated individual to join us as a Associate I, Project Manager to work at our Oceanside Biologics development and clinical manufacturing site as part of the Oceanside Site PMO.
This role will work in close collaboration with senior project managers and subject matter experts at Oceanside to deliver project and business objectives and will have opportunity to support a variety of workflows including site capital projects as well as drug development activities. Also, this role will be dedicated part-time to supporting our legal contracts management activities in partnership with Corporate facilities legal representatives.
The Oceanside Site PMO is accountable for providing project management support for all site activities, including Project, Resource, and Portfolio Management, Risk Management, Knowledge Management, Contracts Management, Business Analytics, Site Strategy, and Site Communications.
Job Responsibilities
- Assist with development, tracking and maintenance of timelines, budgets, and other project documents.
- Develop agendas, prepare minutes, track actions, maintain a risk register, and distribute key project information in a timely manner.
- Post and maintain PMO and project information to databases and other reporting tools
- Participate in project and departmental meetings and activities.
- Execute administrative tasks to support the intake process for legal contracts requests
- Draft work orders and change orders in accordance with legal training
- Work with internal customers to clarify contract needs
- Follow up with vendors and users to ensure timely processing of contract requests
- Participate in legal training, forums and recurring meetings, as required
Knowledge, Experience and Skills:
- 2+ years of relevant experience, BS in science, or 1+ years and an MS or MBA
- Able to think critically and demonstrate troubleshooting and problem-solving skills.
- Excellent written and oral communication skills
- Strong interpersonal skills with ability to work effectively cross-functionally
- Must be highly organized, proactive, and efficient.
- Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, etc.) and Microsoft Project and/or Smartsheet is required.
- Smartsheet project management tool expertise a plus
- Comfortable in a fast-paced environment and able to adjust workload based upon changing priorities.
