In this role, you will join a growing and active Human Resources Department as a Talent Acquisition Associate II. You will be reporting into the HR Operations department and serving as a point of contact for the Talent Acquisition team. You will make a significant difference in maintaining and updating the processes, guidelines, and procedures that contribute to Gilead’s dynamic corporate culture.

We are looking for a candidate who is enthusiastic about their career in Human Resources. This role will allow you to participate in and contribute to a fairly new function within HR Operations. A successful team member will be extremely detail oriented, flexible with continuous process changes, and will be able to handle a high pressure, deadline heavy environment.

Human Resources Shared Services Associate II

Job Responsibilities:

                 Provide exceptional customer service to candidates and hiring managers during the candidate offer/onboarding process.

                 Review and approve submission of offer details from recruitment team to ensure accuracy before triggering the approval process.

                 Generate offer letters for hires primarily in North America & Latin America. Hires including all external hires, conversions, rehires and internal movements filling requisitions.

                 Assist with large scale staffing events

                 Administer background check and adverse action process, interpret information and review supporting documentation.

                 Serve as main point of contact with the background check vendor.

                 Initiate immigration and relocation process with the respective vendors.

                 Troubleshoot candidate issues throughout the offer/onboarding process in Workday.

                 Become a subject matter expert for the offer and onboarding process not only in Workday, but also outside of the system.

                 Proactively update the master SOP when processes change; identify gaps and areas of opportunity to update processes within the offer/onboarding lifecycle.

                 Will be required to understand the Workday recruiting, offer & onboarding system workflow to be able to answer any questions from the recruitment team.

                 Will be responsible to train new team members and members of the recruitment team on a small or large scale.

                 Review Latin America offer letters with business stakeholders and our People Technology team.

                 Test enhancements for the offer/onboarding process and identifying implications or gaps.

                 Run recurring reports. i.e. Referral Bonus Payout and New Hire Orientation.

                 Ad Hoc Projects

Knowledge:

                 Strong verbal, written, interpersonal and telephone communication skills are required.

                 Possess a strong customer service orientation while maintaining a high level of integrity and confidentially with each interaction.

                 Effective team-working skills.

                 Knowledge and understanding of HR policies and procedures.

                 Must be detailed-oriented with sound project and time management skills.

                 Must possess strong Microsoft PowerPoint, Excel, Word and Outlook skills.

                 Must be familiar with local employment regulations and abide by company data privacy requirements.

                 Must be able to perform job responsibilities and duties under minimal supervision.

                 Experience with Workday is highly desired.

                 Specific education and experience requirements:

                 3+ years of relevant experience, preferably in the HR field and a high school diploma; or

                 2+ years of relevant experience and an AA degree.

                 A Master’s degree can be substituted for 2 years of related experience.
